About the opportunity

Reporting to the General Manager, Enterprise Project Management Office (EPMO), you will provide a wide range of office administration and proactive support to 2 General Managers across Finance in a highly professional manner. 

 

You will have a strong ability to adapt to changing business requirements, demonstrate commercial acumen, and the ability to communicate and build strong relationships at various levels of the organisation. 

 

You’ll also   

  • Assist with project management, reporting, diary and travel management, document and correspondence management, meetings and event management, and the general day to day to the GMs and their Teams
  • Manage the administrative functions for the GMs including diary management, meeting/ conference logistics etc
  • Building and establishing proactive relationships and networks with people across different locations, levels, and departments including GM EAs
  • Take the initiative to proactively identify opportunities for improvement, focusing on service, efficiency, and team improvement 
  • Support the GMs in the preparation of conference presentations, EC and Board reports, and papers (including formatting to requirements and distribution in required timeframes)
  • Establish and maintain team information (including financial), documentation, and filing systems as required 
  • Effectively manage and prioritise competing requirements to ensure stakeholder expectations are consistently met or exceeded whilst always operating collaboratively and cooperatively
  • Provide advice and support the implementation and administration of office policies and procedures 
  • Deal professionally and discretely with confidential and sensitive information/ matters
 

About you  

  • Extensive knowledge and experience in providing a full range of administration support functions to senior executives
  • Experience working to tight deadlines and seeing tasks through to completion with minimal supervision
  • Ability to apply professional judgement as an Executive Assistant and maintain confidentiality with discretion 
  • Advanced organisational skills and ability to manage conflicting priorities, planning and supporting events such as department meetings and conferences
  • Experience working in a demanding environment with a high attention to detail
